Front of House Coordinator / Customer Activity Administrator / PA / Marketing Assistant

We are looking for a customer experience-orientated, professional, friendly person to join our team at Foylehov Activity Centre.

You should have a passion for delivering excellent customer service as well as an interest in the activities we offer.

Role Description

The successful candidate will be a committed and self-driven individual with strong administrative, numerical and literacy skills as well as the ability to work as part of a progressive and dynamic team, in a fast-paced environment, where providing an exceptional customer experience is always at the forefront.

The successful applicant will provide an efficient, helpful and effective front of house service that is adaptable to our customer's needs. You will provide a first point of contact from initial booking enquiry to customer arrival and departure. This will involve processing bookings, check ins and completing all relevant paperwork. You will welcome all customers with enthusiasm, inspiring confidence and offering encouragement.

You will maintain a clean and attractive reception area and provide administrative support. The main focus of this role will be providing exceptional customer service, administration duties and ensuring visitor satisfaction. Additional duties will include: assisting the marketing department, trade show attendance, secretarial / PA duties.

Main Duties and Responsibilities

  • Respond to customer enquiries in an efficient and timely manner (including emails, telephone calls and social media enquiries), co-ordinating all bookings according to company procedures.
  • Welcome all customers , prepare them for activities they are participating in, including registration, balance payment and issuing PPE if required.
  • Co-ordinate all groups, instructors, and activities efficiently.
  • Administration duties, including ongoing database maintenance and marketing department support.
  • Keep the reception area organised, clean and tidy at all times.
  • Represent the company at trade shows.
  • Comply and follow all health and safety procedures.
  • Undertake other duties in line with the needs of the company.

Essential Role Requirements

  • GCSE (or equivalent) English and Mathematics Grade C.
  • Good working knowledge of Microsoft Office especially Excel and Word.
  • Excellent literacy and numeracy skills.
  • Strong organisational and administrative skills, with excellent attention to detail.
  • Be friendly and approachable with an outgoing, confident personality.
  • Exceptional interpersonal skills with the ability to communicate effectively.
  • Good team player who is able to work under pressure, using own initiative.
  • Clean and tidy appearance at all times.
  • Minimum of 3 days per week including weekends (mostly Saturdays), with a varied work week

Desirable

  • Previous customer-facing experience.
  • Previous marketing experience.
  • Basic First Aid Certificate.
